SAR Manager — Privacy Policy

SAR Manager is an operational tool for Search and Rescue (SAR) teams. It is used by a member's own SAR organization to coordinate callouts, check-ins, tasking, and equipment during an incident. This policy explains what information the SAR Manager web and mobile applications handle and why. The application is provided to members by their SAR organization; that organization is the controller of the operational data.
Information we handle
- Account & identity — your name, email address, and sign-in are managed by our authentication provider (Clerk). If you sign in with Google, Microsoft, or Apple, we receive your name and email from that provider. We do not receive or store your social-account password.
- Profile — role, qualifications, phone number, and (optionally) an emergency contact you enter yourself.
- Operational data — check-in status, team and task assignments, equipment you sign out, messages you send to Command, and debrief information you submit as a team leader.
- Location — the mobile app requests location only to geotag a check-in during an active operation, and only while the app is in use. Location is not collected in the background and is not tracked continuously.
- Camera — used only to scan equipment QR codes when you choose to. No images are stored or transmitted.
- Push token — an anonymous device token so the app can notify you of callouts and messages. It does not identify you beyond your roster membership.
How we use it
Information is used solely to run SAR operations: to alert responders to a callout, record who is checked in and available, assign and track field teams, manage equipment accountability, and communicate during an incident. We do not sell personal information, and we do not use it for advertising.
Service providers
Operational data is processed by the following providers on the organization's behalf:
- Clerk — authentication and identity.
- Microsoft Azure — application hosting and data storage.
- Expo — delivery of push notifications (device token only).
- Twilio — SMS and voice callouts (phone numbers only, when configured).
- D4H — team-management integration, when the organization enables it.
Data retention
Operational records are retained by your SAR organization for as long as needed for incident records, after-action review, and legal or regulatory requirements, then archived or removed at the organization's discretion. Your push token is removed when you sign out or uninstall the app.
Your choices
- You can edit your profile and emergency contact in the app's Settings.
- You can deny or revoke the location and camera permissions in your device settings; the app remains usable, with those specific features disabled.
- You can turn off notifications in your device settings.
- To access, correct, or delete your account information, contact your SAR organization's administrator (the data controller), or us at the address below.
Children
SAR Manager is intended for adult SAR members and is not directed to children under 13.

We may update this policy; the "last updated" date above reflects the latest revision.
